Documents to submit
Please submit the following document to the International Office as soon as possible:
• A good quality scanned copy of the pages in your passport showing your personal details, photo, dates of issue and expiry. Please note that your passport should be valid at least until November 2013. You can upload a copy of your passport through the STARS website or through our questions and answers on our website.
• Housing application form.
• The arrival form with your exact date, time, flight number of arrival.
For Chinese students only:
• Apply for a Nuffic certificate ; it will be sent to us by the Nuffic.
Documents to bring with you to the Netherlands
The following documents are required for official authorities and should be arranged well in time and brought with you to the Netherlands:
• A valid passport. Should be valid at least till November 2013.
• A certified* copy of your Bachelor degree.
• A certified* copy of your transcript of academic records (obtained during the bachelor)
• Your original birth certificate mentioning your parents’ names (for Chinese students a “Hukou” birth certificate)
• Your original marriage certificate (if applicable)
• An original certificate of divorce (if applicable)
• For widows/widowers – a marriage certificate and death certificate.
*certified copy: a certified copy is a duplicate of a document that shows the original signature and stamp or seal of a suitable professional person or organization to verify that it is a true and genuine copy of the original document. A photocopy of a certified copy is not acceptable.
Certified copies can be made by:
1. university which issued the diploma.
2. a solicitor.
3. civic hall.
4. Wageningen University (bring the original with you in order to make a certified copy)
Legalization of documents
In many countries birth and marriage certificates have to be legalized by the Ministry of Foreign Affairs and verified by the Dutch Embassy. Information about legalization is available at the Royal Netherlands Embassy in your country.
Apostille Agreement:
In countries that have a so-called ‘apostille-agreement’ with The Netherlands, birth certificates, marriage/divorce certificates and death certificates only need an Apostille Seal. An Apostille is a special seal applied by an authority, usually the State Department, the Ministry of Foreign Affairs or the Ministry of Justice, to certify that a document is genuine.
The following countries are exempt from legalization and verification; a (international) birth certificate will be accepted:
• Netherlands Antiles
• Aruba
• Bosnia-Herzgovina*
• Croatia*
• Republic of Macedonia*
• Turkey
• Switzerland
* only if certificate is in English, Dutch, German or French. Otherwise a translation and a Apostille seal is needed.
